Student information may include first name, age or year group, subjects studied, academic level, exam board, learning goals, lesson schedule, attendance records and educational progress information.

Where necessary to provide appropriate tuition, a parent or guardian may choose to provide information about SEN, disabilities, health-related needs, reasonable adjustments or learning preferences. We may use personal information to respond to enquiries, arrange consultations, match students with tutors, provide tuition, schedule lessons, maintain attendance records, process payments, issue invoices and receipts, communicate with parents and guardians, manage cancellations, monitor service quality, address complaints, protect students and tutors, meet safeguarding responsibilities and comply with legal obligations.

4. Lawful Bases

Bestlearn will identify an appropriate lawful basis before processing personal information. Where special-category information is processed, Bestlearn will also identify an appropriate additional legal condition.

5. Children's Information

Bestlearn recognises that children require particular protection when their personal information is used. We aim to collect only information genuinely required to provide tuition, keep student information secure, restrict access to people who need it, avoid unnecessary collection of sensitive information and consider the child's best interests when designing our services.

6. SEN and Health-Related Information

Information about SEN, disability or health will only be collected where reasonably necessary and where there is an appropriate lawful basis and additional condition where required. Such information will not be placed in payment descriptions or unnecessarily shared with payment providers. Tutors will only receive information reasonably necessary for supporting the student.

7. Payments

Payments may be processed by third-party payment providers such as Stripe. Payment providers may collect payment-card and financial information directly under their own privacy terms. Bestlearn does not intend to store full debit or credit card numbers on its website.

8. Sharing Information

We may share personal information where reasonably necessary with tutors providing services to the student, payment providers, technology and hosting providers, professional advisers, safeguarding organisations or authorities where necessary, and regulators or law enforcement where legally required. We will not sell student or Customer personal information.

Bestlearn will use reasonable technical and organisational measures designed to protect personal information against unauthorised access, loss, misuse, alteration and inappropriate disclosure. Access to student information should be limited to individuals who reasonably require it.

10. Data Retention

Personal information will not be retained indefinitely simply because it was collected. Different information may need to be kept for different periods depending on contractual requirements, safeguarding considerations, financial and tax obligations, potential legal claims and applicable law.

11. Emails and Marketing

Service-related communications may be sent where necessary to manage tuition. Marketing communications will be handled separately and Customers will be provided with appropriate choices where consent or an opt-out is required.

12. Cookies

Where Bestlearn uses non-essential cookies or similar tracking technologies, appropriate information and choices will be provided in accordance with applicable requirements. Essential technologies necessary for the website to operate may be treated differently.

13. Your Data Protection Rights

Depending on the circumstances, individuals may have rights including access, correction, deletion, restriction, objection, data portability and withdrawal of consent where processing relies on consent.
